Stage 01Asset inventory and dependency register
Every server, switch, router, UPS and appliance recorded with rack position, weight and owner, then extended with what each system depends on and what depends on it. Build the dependency side from a full month of traffic data, not from memory, so month-end batch jobs appear.
- Per-unit asset list with rack and rack-unit position
- Tier 0 / 1 / 2 recovery order agreed with the business
- External and third-party links that need a counterparty change request

Stage 02Port map and cable label scheme
The per-connection record that lets the destination be a rebuild rather than a reconstruction. A-end and B-end identity, media type, VLAN and bundle membership, function, and the label ID physically applied to both ends of the cable before anything is disconnected.
- The fields that make a port map row usable at the destination
- A label scheme that survives handling and transit
- Translating the source map when the destination is not identical

Stage 03Scope-of-work and vendor comparison sheet
One row per deliverable, one column per vendor, each cell marked in scope, excluded or unstated. Unstated is the column that decides the real cost. Price the gaps at what covering them with your own staff at overtime would cost, then compare.
- The qualifying questions to ask before sending a floor plan
- How to read a certificate of insurance and a chain-of-custody procedure
- The sections a usable scope-of-work document must contain

Stage 04Move-week runbook and cutover window
A timed sequence for the window: arrival, shutdown, de-rack, load, transit, re-rack, re-cable, power-on, validation, handover. Each step carries a duration, a dependency and a named owner, and the window is built backwards from the last validation test.
- Freight elevator, loading dock and after-hours access booked at both ends
- Winter condensation acclimatisation time counted inside the window
- Month-end, quarter-end and stat-holiday change freezes checked
Read the phase-by-phase IT relocation checklist→
Stage 05Rollback plan
Not a paragraph promising the equipment will come back. A decision point with a clock on it, a named decision-maker and deputy, the state the source site must be left in for rollback to be possible, a data reconciliation step, and an execution estimate.
- The abort trigger and who is authorised to call it
- What must not be surrendered at the source until validation passes
- The point of no return, marked explicitly on the runbook
Read how to write a rollback plan that can actually be used→
Stage 06Post-move validation record
Written before the window, in the same tier order as the power-on sequence, each test with an unambiguous pass condition and a named owner. Link, routing, name resolution, authentication, storage paths, application login, then a real business transaction end to end.
- Pre-move performance baselines to compare against
- A source-to-destination port map diff as an objective completion criterion
- The exit from degraded operation: redundancy, monitoring and backups restored
